Inventory & Warehouse Management is the module that runs everything physical, every input, every harvested bin, every part-finished product, every packed pallet, that AgriERP holds at any moment in any facility. It is the module that lets the agribusiness answer the deceptively simple question “what do we have, where, and what is its state right now?” with certainty.
This module is built on an enterprise-grade inventory and warehouse capability that powers the supply chains of global food, beverage, and consumer goods companies. AgriERP shapes it for agriculture, where inventory includes living, perishable, and traceable product, and warehouses include packing sheds, cold stores, and field staging areas.
1. Inventory by type
In one lineTrack raw materials, work-in-progress, finished goods, and semi-finished product as distinct inventory classes, each with its own rules, valuation, and visibility.
The four inventory classes

What each class captures
- Quantity and unit of measure: tonnes, kilograms, cartons, pallets, litres, units. With conversions handled correctly between units.
- Value: the current monetary value, using the configured costing method (standard, average, FIFO, FEFO).
- Traceability attributes: for produce: block, harvest crew, harvest date, grade, lot code. For inputs: supplier, batch, expiry date.
- Reservation and allocation status: what is on-hand and free, what is reserved against an order, what is in transit, what is held for quality.
- Condition state: released, on hold, quarantined, expired. The state determines whether the inventory can be used or sold.
2. Locations and bins
In one lineEvery piece of inventory has a precise location, from the warehouse it sits in to the specific bin or pallet position, so picking, putaway, and audits are exact, not approximate.
How locations work in the module
Locations are defined in the Land & Buildings module (warehouses and their storage hierarchies). The Inventory & Warehouse Management module uses them as the addresses where inventory actually lives. Every inventory transaction (receipt, putaway, move, pick, pack, dispatch) updates the location of the affected stock.

Bin-level operations
Most inventory movements in AgriERP happen on the mobile app or a handheld scanner, against specific bins. Bin-level operations are the day-to-day reality of warehouse work.
- Receipt and putaway: incoming inventory is scanned against the receiving location, then directed to a putaway bin based on bin rules (capacity, allowed product type, FIFO/FEFO priority).
- Replenishment: where picking bins separate from storage bins, the system generates replenishment tasks to keep picking faces stocked.
- Picking: outbound orders generate pick lists, with the system sequencing bins for efficient walks and confirming scans match the order.
- Cycle counts: scheduled or random counts of specific bins, with discrepancies flagged for investigation. Continuous accuracy, not annual stocktakes.
- Inter-bin moves: moving inventory between bins (consolidation, rebalancing, condition changes) is captured as discrete moves with audit trail.
- Adjustments and write-offs: damage, loss, or quality downgrades are captured as adjustments with reason codes, against the specific bin and lot.
3. Capacity planning

Why capacity planning matters in agriculture
Agricultural inventory has extreme cyclicality. A cold store that runs at 30% capacity for nine months can hit 110% in week three of harvest. A packing shed sized for the average week is the bottleneck of the peak week. A grain silo holds the entire year’s production for two months and is empty for ten. Capacity planning is the discipline of forecasting these flows and either matching them, scheduling around them, or finding additional capacity in time.

Capacity planning views
- Current utilisation: the live picture of how full every warehouse, zone, and bin is right now.
- Projected utilisation: based on the harvest plan, the production schedule, and the dispatch schedule, what utilisation will look like next week, next month, through peak.
- Capacity vs. demand: where projected inventory exceeds available capacity, the gap is flagged ahead of time, with options to act: book external storage, shift harvest timing, accelerate dispatch.
- Seasonal patterns: year-over-year history shows how each warehouse fills and empties through the cycle, supporting medium-term decisions about expansion or reconfiguration.
4. Quality control
In one line Inspect, test, and approve every batch of incoming, in-progress, and outgoing inventory against the standards the business and its buyers require, with full audit trail.
Why quality is an inventory function
In food and produce supply, quality is not a separate department; it is a state of the inventory. A pallet of fruit is not just “in cold store 2”; it is “in cold store 2, in quality state Released for sale” or “in quality state On hold awaiting test result” or “in quality state Rejected, awaiting disposal.” The Inventory & Warehouse Management module treats quality as a first-class attribute, with workflows to control state changes.
Where quality control runs

What quality control captures
- Sampling and test plans: the sampling rule for each product type, the tests to run, and the acceptance criteria.
- Test results: captured by inspector, by date, with measurements, photos, and pass/fail decision. All linked to the specific lot.
- Quality states: the standard states (Released, On hold, Quarantined, Rejected) and any custom states the business uses. Each controls what can happen to the inventory.
- Disposition workflows: what happens to non-conforming inventory: rework, downgrade to a lower grade, divert to alternative use (juice, animal feed), or destroy.
- Certification linkage: where buyer or regulatory certifications require specific tests, the QC system captures the data in the right format for audit and reporting.
- Trend analysis: QC results aggregate over time, revealing patterns by supplier, by block, by season, by variety, by harvest crew.
Why this changes the conversation with buyers When a buyer raises a quality concern, the answer is no longer “let me check.” The pallet’s full QC history, sampling, tests, photos, dates, and inspector, is on the inventory record, accessible in seconds. Most concerns resolve without escalation; the few that do not, resolve faster.
